Privacy Policy

This document is provided as an informational template describing how AimForCareers currently handles data based on its actual, verified functionality. It is not a substitute for advice from qualified legal counsel. This policy should be reviewed by an attorney before being relied upon as a final legal document, particularly regarding applicable data-protection laws in your jurisdiction and your users' jurisdictions.
1. Scope
This Privacy Policy describes how AimForCareers (“we,” “us,” or “the Service”) handles information in connection with the career-assistance features it provides, including resume analysis, job matching, an AI career coach, interview practice, and career recommendations.
2. Information We Collect
We collect the following categories of information:
Account information
When you create an account, authentication is handled by Clerk, our identity provider. We store your email address and, if provided, your name, associated with your account record. We do not separately manage your password — sign-in credentials are handled entirely by Clerk.
Career content you provide
- Resumes you upload (PDF or DOCX), which are parsed into text and stored so they can be analyzed and reused across features.
- Job descriptions you submit for analysis or matching.
- Career profile details you choose to provide, such as target role, target salary, preferred location, work preference, industry, career goal, skills, and certifications.
AI Career Coach interactions
Messages you send to the AI Career Coach and the responses you receive are stored so conversations can persist across sessions. We also store structured facts the coach learns about you over time (for example, a stated skill gap or career goal) to personalize future responses, along with any thumbs-up/thumbs-down feedback you give on coach responses.
Interview practice
When you use the AI interview coach, we store the generated questions, the answers you submit, and the resulting evaluation (scores, strengths, suggested improvements).
Generated results
We store the outputs the Service generates on your behalf, such as resume-to-job match scores and feedback, career recommendations, and career action items you create or that are suggested to you.
Job search activity (optional feature)
If job search is enabled, we store normalized job listing data and your own tracking information for jobs you save (status, notes, and relevant dates).
Technical and log information
Our servers generate structured operational logs containing only non-content metadata: the route called, timing, HTTP status, a request identifier, your account identifier, and a general error classification when something fails. These logs are deliberately designed to never include the content of your resumes, job descriptions, AI prompts, AI responses, or any secret values.
3. How We Use Your Information
We use the information above to:
- Provide the core features you use (analysis, coaching, recommendations, interview practice, job tracking).
- Persist your data across sessions and devices so your profile, history, and conversations remain available to you.
- Generate the AI-powered outputs described above.
- Maintain basic security and reliability, including rate limiting and error diagnosis.
4. How AI Processing Works
Certain features (resume analysis, job match scoring, the Career Coach, career recommendations, and interview question generation and evaluation) work by sending relevant content — such as your resume text, a job description, your career profile, or your coach conversation — to OpenAI's API to generate a response, which is then returned to you and, in most cases, stored as described in Section 2.
OpenAI processes this content solely to generate the response for that request. OpenAI is a separate company and its handling of data sent to its API is governed by OpenAI's own terms and privacy policy, not this document. We do not control, and cannot make representations about, OpenAI's internal data handling practices.
AI-generated content (match scores, feedback, recommendations, interview evaluations, and coach responses) is produced by a machine-learning model and may be inaccurate, incomplete, or not applicable to your situation. It is not professional career counseling, legal, financial, or employment advice, and should not be treated as a guarantee of any outcome. See the Terms of Service for additional disclaimers.
5. Authentication
Account creation and sign-in are handled by Clerk, a third-party identity provider. Clerk manages your credentials, session cookies, and related authentication data on our behalf. Clerk's handling of that information is governed by Clerk's own terms and privacy policy.
6. Database and Hosting
Application data is stored in a PostgreSQL database. The Service is deployed and hosted on Vercel. These infrastructure providers process data as necessary to store and serve the Service's data on our behalf, under their own respective agreements and security practices.
7. Optional Job Search Integration (Adzuna)
The Service includes an optional integration with Adzuna, a third-party job search API. This integration only activates when it has been explicitly configured, and is not enabled by default at initial launch. When enabled, job search queries and resulting listing data are exchanged with Adzuna to populate job search results. Adzuna's handling of that data is governed by Adzuna's own terms and privacy policy.
8. Data Retention
We do not currently apply an automatic expiration or deletion schedule to your data. Information you provide, and content generated on your behalf, is retained in our database until you delete your account (see Section 9) or otherwise request its removal. We do not promise a specific retention period beyond this.
9. Account Deletion
You can permanently delete your account from your Profile page. Deletion requires you to type a confirmation phrase and is rate-limited to guard against accidental or automated triggering. When you confirm deletion:
- Your account record and all associated data described in Section 2 — resumes, job descriptions and analyses, career profile, coach memory, coach conversations and feedback, recommendations, career actions, job tracking records, and interview sessions — are permanently removed from our database.
- Your Clerk identity is also deleted on a best-effort basis immediately afterward.
This action is irreversible. We do not currently offer a way to export your data before deletion.
10. Security
We apply security measures including authentication through Clerk, rate limiting on sensitive and resource-intensive endpoints, HTTPS transport with HTTP Strict Transport Security enabled, and standard HTTP security headers (including protections against MIME-type sniffing and a restrictive referrer and permissions policy). Our server-side logging is deliberately designed to exclude sensitive content, as described in Section 2.
No method of transmission or storage is completely secure. We cannot guarantee absolute security of your information, and you should avoid submitting information that is more sensitive than necessary (see Section 12).
11. How Information Is Shared
We share information only with the third-party service providers described in this policy — Clerk (authentication), OpenAI (AI processing), our database and hosting providers, and, where enabled, Adzuna (job search) — solely as necessary for them to provide the corresponding functionality of the Service. We do not share your information with third parties for their own independent marketing purposes.
12. Sensitive Information
Please do not submit highly sensitive personal information (for example, government identification numbers, financial account details, health information, or similarly sensitive data) that is not necessary for career assistance. The Service is designed to process resumes, job descriptions, and career-related information, and submitting unrelated sensitive data increases your risk unnecessarily.
13. Your Choices
You may review and update your career profile information within the Service, and you may permanently delete your account and associated data at any time as described in Section 9. Depending on the laws that apply to you, you may have additional rights regarding your personal information; this policy does not limit whatever rights are legally available to you, but does not itself enumerate jurisdiction-specific statutory rights, which should be addressed by legal counsel familiar with your location.
14. Children
The Service is intended only for individuals who are at least 18 years old. It is not directed to children, and individuals under 18 may not create or use an account.
15. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
